Exhibitor Kit
Upon the initial release of the Exhibitor Kit, all confirmed exhibitors will receive an email with login credentials for online ordering. This kit includes options to purchase furnishings, equipment, labor services, and more. It also contains key information such as schedules, deadlines, shipping labels, and vendor forms.

Hotel
Harrah’s Resort Atlantic City is the official host hotel for the 2025 NALA Conference & Expo. Exhibitors booking through our block will receive a discounted rate of $145/night plus a $10 night/resort fee, which includes:

• Unlimited local phone calls (no long distance or international calls)
• $5.00 voucher toward self-parking
• Two (2) Guest admissions per day to the Fitness Center
• Basic WIFI for up to two (2) devices per room per day
• Pool Access and Night Swim (7 days per week for guest 21 & older)

To reserve the discounted rate, use the link provided in your registration confirmation email or email pvanstraten@nala.org. The discounted rate is available until June 14, 2025, or until the room block is full. After this date, NALA cannot guarantee room rates or availability.

Expo Hall Information
Location: Wildwood 11 Ballroom –  Ground Level

This year’s Expo Hall will open with a Wednesday evening Happy Hour Kickoff and remain active through Thursday, with extended hours to maximize engagement.

Show hours:

• Wednesday, July 9: Exhibitor Move-In (10:30 am to 3:30 pm)
• Wednesday, July 9: Exhibit Hall open (4:00 pm to 6:00 pm) Preregistration and Happy Hour
• Thursday, July 10: Exhibit Hall open (7:30 am to 5:00 pm)
• Thursday, July 10: Exhibitor Move-Out (5:00 pm to 6:00 pm)

May Pre-Conference Tasks:

• Contact AEX for any booth/expo service needs
• Reserve your hotel room
• Confirm the names and email addresses of your onsite booth representatives
• Begin Promoting your conference participation (see below)

Exhibitor Access: NALA Commons Group and Conference App
All exhibitors and attendees will have access to:

NALA Commons Conference Group – our private online space for interaction with attendees.

Conference App – where attendees can view the agenda, handouts, and receive real-time updates. Conference registrants will have access to the app at the end of June/early July.

App Access Instructions:

• Download the Cvent Events app from your mobile device
• Search for the event ID “2025 NALA Conference & Expo”
•Tap to download button to the right
• Go to your profile tab and log in using your name and email
• Enter the verification code sent via email or text (note: reverification is required every 24 hours)


LeadCapture Tool (will be available in the Exhibitor Portal in June)

If you purchased LeadCapture (or received it as part of your sponsorship), you can assign the license(s) in Your Exhibitor Portal.

Steps to Assign Licenses:

  1. 1. Log in to the Exhibitor Portal.
  2. 2. Click “Licenses” in the left-hand menu. This section will show the number of licenses available for your company.
  3. 3. Assign licenses to your onsite staff

 

Once assigned, staff will receive an access code via email to log into the Cvent LeadCapture app using their device. Please note: licenses cannot be reassigned once they have logged in.


At Conference

You’re Invited

Happy Hour – Expo Hall
Kick off the event on Wednesday, July 9, from 4:00 – 6:00 PM during our pre-conference registration and networking Happy Hour. Complimentary drink vouchers will be provided to attendees.

Affiliate Showcase & Reception – Pool Area
Join us Thursday evening (6:30 – 8:00 PM) for a festive reception celebrating our affiliated associations. This is a great opportunity to network and engage with attendees while enjoying activities and giveaways.

Expo Hall Etiquette & Additional Notes

Security
Security will be stationed at the Expo Hall entrances during open hours and will monitor the area after hours. Badges are required for entry. Please note that security personnel may take occasional breaks.

Giveaways/Drawing
If you are offering a giveaway or prize, please announce the winner via the Conference App or NALA Commons Group.

Attendee List
The attendee registration list, including email addresses, is available to sponsors upon request. Please note that physical addresses of attendees are not shared. The list may be used for one mailing, either pre- or post-conference. Additionally, exhibitors may communicate with attendees through the conference app during the conference. To request an attendee list, email Paula VanStraten at pvanstraten@nala.org.

Exhibitor Courtesy Guidelines:

  • • Stay at your booth during Expo Hall hours
  • • Refrain from soliciting in the aisles – we want to keep a free flow of traffic through the aisles
  • • Engage with new members & first-time attendees – they will be great leads for future business
  • • Do not break down your booth early, wait until 5:00 pm on Thursday
  • • Be courteous to your fellow exhibitors and guests
  • • Most importantly, have fun!
