Online Exhibitor Services Portal
A comprehensive online exhibitor services portal, OneView, is available from our expo company, Fern. You can access this portal starting in April to order services such as power, furnishings, storage, or shipping, etc. for your expo hall booth. If you have any questions regarding the exhibitor services portal, OneView, please contact Missy Welch mwelch@fernexpo.com.

Hotel
The Louisville Marriott Downtown is our host hotel for the NALA Conference & Expo. Exhibitors who reserve their rooms receive a special discounted rate of $189/night. Complimentary Wi-Fi is included. Nightly parking is discounted to $19/night in the attached garage, based on availability.

Please review your registration confirmation email for the link to reserve rooms at the discounted rate or email pvanstraten@nala.org for the link. Discounted room rates are available until June 17, 2024, or until the room block has been filled. After June 18, 2024, or if the room block becomes filled, NALA can no longer guarantee rates and availability.

Rooms at the host hotel for July 9 & 10 have been filled. We have secured rooms at the Fairfield Inn & Suites Louisville Downtown at a discounted rate of $169.00/per night for July 9 through July 11, 2024. The discounted rate is available until June 18, 2024. Please reach out to pvanstraten@nala.org for the reservation link.

Make your reservations as soon as possible to ensure availability and secure the discounted rate.

June Pre-Conference Tasks:

  1. • Log in to the Exhibitor Portal on the Event Platform/Attendee Hub to review and add your company profile information. Both in-person and virtual attendees will be able to access the Event Platform and the app closer to the event date
  2. • Confirm the names of your onsite booth representatives and reply with their email addresses and cell phone numbers, if you haven’t done so already.

Exhibitor Access – Conference Facebook Group, Event Platform, and Conference App
As this is a hybrid event, all exhibitors and attendees, whether participating in-person or virtually, will have access to the Conference Facebook Group, the CVent Event Platform, and the Conference App. Further details are below.

Main Social Site for Conference
Facebook Group –
This exclusive Facebook group is the main social site for interacting with attendees this year. Post photos, videos, status updates, and questions directly from a common platform. Search keywords: 2024 NALA Conference and expo or click https://www.facebook.com/groups/1094238701812425/.

Exhibitor Portal on the Event Platform/Attendee Hub (For Exhibitor Admins)
The Exhibitor Portal is a fantastic tool for managing all aspects of our partnership. This portal will house your contact information and other details such as social media links, address, and website link. You can also upload content like PDF files and videos.

All attendees will have access to the “Contact Us” button on the right side of the virtual booth. When an attendee clicks this button, it generates a lead. You can pull these leads from the Exhibitor Portal to follow up with them.

Conference App
The app is an extension of the Event Platform. All information entered in the event platform will automatically transfer to the app. Attendees will be able to view the conference agenda, access the handout materials for sessions and meetings, explore digital vendor booths, and receive real-­time important communications from NALA. Conference registrants will have access to the app at the end of June/early July.

• From your Mobile Phone or iPad download the app “Cvent Events”
• Open the app and search for the event ID “2024 NALA Conference & Expo”
• Click the download button to the right
• Go to the profile tab at the bottom and log in with your first and last name, as well as your email address
• You will be prompted to enter a verification code, which will be texted or emailed to you (Please note that you will be asked to verify your login every 24 hours)

Accessing the Event Virtually (Attendee Hub/Virtual Platform)
Admins and booth representatives can log in starting July 1 to participate in the event as attendees. This provides the opportunity to engage in chats and message other attendees.

To access the Attendee Hub on July 1, click on the following link: https://cvent.me/AN7zm0. (You may need to copy and paste this address into your browser.)

Enter your first, last name, and email address. You will get an email and/or text (if we were given your cell number) from NALA Headquarters with your verification code. If you cannot find the email with the code in your inbox, check your Spam, Junk, and/or other filter folders. You will need to enter a new verification code once every 24 hours.

Before and during the conference, attendees can use the app to explore sessions, set their schedules, view exhibitors, and message fellow attendees and exhibitors.

All attendee profiles are automatically set as ‘visible’ in the app.

Connect with Attendees
You can send and receive messages from attendees by clicking “Community” and then “Attendees” on the homepage of the Attendee Hub/Virtual Platform.

Contact Us
Attendees can click “Contact Us” on your exhibitor profile in the Attendee Hub/Virtual Platform. This action is considered a lead.

To access leads on the admin side:

  1. • Go to the tab labeled “Lead Collection.”
  2. • If anyone has clicked “Contact Us” from your exhibitor profile, those leads will appear here.
  3. • Their messages will be listed under the “Lead Comment” header.

LeadCapture

If you purchased LeadCapture or it was included with your sponsorship, you can assign the license(s) in the exhibitor portal. Follow these steps:

  1. • Log in to the exhibitor portal.
  2. • Click on “Licenses” on the left-hand side. This section will show the number of licenses available for your company.
  3. • Assign the licenses to your onsite staff members.

 

Once assigned, they will receive an email with the access code, allowing them to log into the Cvent LeadCapture app at the event using their device (e.g., phone or tablet). Please note, once they have logged in with their access code, the license cannot be reassigned to another member of your booth staff.

Expo Hall Security
Security personnel will be present in the Expo Hall. They will check badges for entry during show hours and will oversee the Expo Hall when it is closed. Please note that security personnel may take occasional breaks.

Tradeshow Giveaways/Drawing
If you are conducting a drawing for any items, please announce the winner and provide any instructions in the Facebook app.

Retail Sales
Exhibitors selling goods at the conference must complete this document and submit payment for sales taxes. According to the taxing authority, exhibitors are considered transient and are not required to register with the state beforehand. However, exhibitors must complete this document after the event and mail it along with the payment. It is the exhibitor’s responsibility to do so.

Attendee List
The attendee registration list with email addresses is provided to exhibitors upon request. The physical addresses of attendees are not released. The list may be used for only ONE mailing, either before or after the conference. Exhibitors may communicate with attendees through the conference app or event platform during the conference. To request an attendee list, email Paula Van Straten at pvanstraten@nala.org.

General Expo Etiquette
Please make sure to adhere to the following etiquette guidelines:

  • • Stay at your booth during dedicated Expo Hall hours
  • • Do not solicit in the aisles – we want to keep a free flow of traffic through the aisles
  • • Seek out new members & first time attendees – they will be great leads for future business
  • • Do not tear down your booth early, please wait until 2:00 pm on Friday to begin the process
  • • Be considerate – of your fellow exhibitors and attendees
  • • Have fun!
