Job Summary: 

Two-attorney civil litigation firm looking for a part-time legal secretary/legal assistant.

Prior and recent experience in a law firm is required, with personal injury and mass tort experience preferred. Spanish speaking is also preferred but not required.

Ideal candidate will be professional, detail-oriented, and self-motivated. This person will serve a dual role, as both the receptionist and assistant to both lawyers. He/she must be on time, organized, able to follow directions, and flexible to the firm’s demands. He/she will receive assignments from both attorneys and will report directly to the Associate Attorney. Strong writing, proof-reading, and computer skills are a must. The firm utilizes TrialWorks, Microsoft Office, and Quickbooks. Experience with all is preferred.

Duties include but are not limited to the following:

  • Answering phones. The ideal candidate will excel in handling client intakes and speaking with opposition counsels, courts, medical providers, existing clients and vendors.
  • Client Intakes. The ideal candidate will handle the initial potential client calls and report to the attorneys regarding potential new cases. This includes following up on potential clients through Facebook, web, and calls, tracking all pending intakes, sending rejection letters as instructed, and securing new client paperwork as instructed.
  • Document Processing. You will be responsible for all incoming and outgoing mail and faxes. This includes receiving and sending mail, scanning and saving mail, saving electronic faxes, and ensuring the attorneys are aware of all incoming items. Attorneys may also require you to type letters, motions, and other documents from handwritten notes. Experience with Microsoft Office 365 and Acrobat Pro are required.
  • E-filing. The ideal candidate will handle all e-filing with state courts and federal courts. Accurate e-filing is essential. Experience is a must.
  • Maintaining Case Files. You will be responsible for maintaining all case files in our paperless office. This includes timely and accurate opening and closing case files in accordance with our established procedures.
  • Medical Records. The ideal candidate will have experience ordering medical records via authorization. You will be responsible for tracking all records requests and ensuring records are received in a timely manner.
  • Discovery. You will be responsible for calendaring and typing discovery. You will schedule the call with the client and attorney to review discovery responses. The extent of your involvement in written discovery is limited to scheduling and typing. You will also be responsible for coordinating deposition dates and scheduling as instructed. Ability to draft and serve form notices is required.

This is an hourly position with guaranteed hours at least three days per week from 8:30 a.m. to 5:00 p.m. with half hour lunch break. You may opt for an hour lunch break and extend your hours to 5:30 p.m. There will be a possibility of additional hours/full-time hours depending on the needs of the office and based on performance.

Requirements or Qualifications: 
Law firm experience required. Personal injury or mass tort experience is preferred but not required. Spanish speakers are also preferred but not required. You must have excellent computer and proof-reading skills (including grammar).
