Perform a variety of clerical and administrative support functions to meet its mission effectively. The contract employee is needed to prepare and update ongoing files that may be incomplete or in need of organization, indexing, and scanning. The contract employee will also enable the office to ensure that its closed files are complete, scanned, and ready to be sent to the Federal Records Center. The contract employee is also needed to prepare routine documents, and proofread and finalize legal documents.
 
The Business Support Specialist (General Clerk II) should have the following qualifications to be able to perform the work required by the contract:

  • Ability to work independently using judgment to establish priorities, resolve problems, and plan and organize work in support of the office mission;
  • Ability to organize various tasks and maintain productivity by responding to unplanned priorities with limited day-to-day supervision;
  • Ability to review a variety of documents for completeness of information;
  • Ability to interpret documents for data entry into OGC’s case management system and other databases;
  • Proficiency in using desktop computers and software, including the Microsoft Office suite of software (Word, Excel, PowerPoint), Microsoft Outlook, and Adobe Acrobat Pro, to prepare and/or update documents such as correspondence, electronic spreadsheets, or databases in the performance of daily duties;
  • Skill in using telephone conferencing and video-teleconferencing equipment, high volume copiers and scanners, and other high tech office equipment and software;
  • Ability to communicate effectively both orally and in writing; and
  • Ability to interact professionally with the public or client agencies.
  • Maintaining legal case files, including filing documents in hard copy and electronic formats, scanning files, preparing files for shipment to the Federal Records Center, and shredding or disposing of files that are past the applicable retention period;
  • Typing, copying, scanning, assembling, transmitting, mailing, routing, reviewing, and proofreading a variety of documents;
  • Preparing routine correspondence or pleadings;
  • Keeping cases organized by establishing and organizing files; creating indices; meeting deadlines; and documenting actions;
  • Preparing binders of exhibits or other documents needed for litigation cases;
  • Retrieving case files for attorney follow-up;
  • Entering data into, and retrieving data from, OGC’s case management system, other databases, and OGC’s SharePoint site;
  • Organizing the office library, including updating pocket parts and disposing of unneeded books;
  • Greeting visitors and answering the telephone;
  • Responding to incoming inquiries from clients or agencies;
  • Performing research using public databases;
  • Implementing preservation procedures when OGC or the Department of Justice issues a litigation hold, including preparing and issuing litigation hold notices, documenting actions taken to satisfy the litigation hold, taking steps to effectively preserve electronically-stored
  • information and hard copy records, and maintaining information regarding the litigation hold while the hold is active.
